How to answer customers at night and on weekends without anyone on call
DaveCustomer service
Your business closes at a certain hour, but your customers don't stop looking at that hour. Many of them reach out right when they finally have time: at night, on Saturday, or on Sunday afternoon. If nobody answers, they don't wait until Monday. They message the next business on their list.
Some customers won't wait
Qualifying 181 leads for an insurance agency in Yucatán, Mexico, taught us something that holds for a lot of industries: some customers have to be answered right away or they're gone. It's not that they're impatient. They're comparing, and whoever answers well first usually keeps the conversation.
You see it most when the decision is quick or urgent: someone with a toothache, someone who wants a massage tomorrow, someone who just saw a listing and wants to know if it's still available.
What answering after hours actually means
It's not about closing sales in the middle of the night or answering from bed. It's about the customer getting a clear reply, sorting out the basic questions and leaving with a concrete next step.
- Dental office: a patient writes on Sunday night. The assistant explains the office's services, offers Monday's open times and books the appointment in your Google Calendar. If it sounds urgent, it makes clear how to reach a person.
- Real estate: a buyer sees the listing on Saturday. The assistant covers the basics about the property, asks what it needs to understand what the buyer is looking for, and books the showing.
- Med spa or salon: a client wants to book for the next day. The assistant shows the open times and holds the spot.
The next morning your team starts the day with appointments on the calendar, not a pile of overdue messages.
What already happens with one of our clients
A real estate development in Mérida, Mexico, no longer has people on call answering pre-sales messages. In after-sales, every issue is logged with a reference number and followed up.
The idea behind it is simple: the assistant handles the repetitive part and leaves people the part that truly needs a person.
What your business needs to make it work
- An assistant connected to your WhatsApp that knows your hours, your services and the answers to the usual questions.
- Access to your calendar, so it can offer times and book appointments without you stepping in.
- A clear rule for which cases wait for a person during business hours, and how that person gets notified.
Reaching back out to people who left a conversation halfway is possible too; we build that part around each business.
What to do this week
- Look at the messages you got after hours last week.
- Write down how many you answered the next day and how many never replied.
- List the questions that come up most in those messages. They're the first thing your assistant should know how to answer.
